Planning an event can quickly become overwhelming. Creating a checklist can help you to stay organized and on schedule for the day of the event. At Grimes Events and Party Tents, we aim to help our guests stay stress-free and happy so that they can get the most out of their experience. Here is a simplified checklist of things to consider when planning your next event:

Decide on a Date, Time, and Venue

Depending on the type of event, certain days or times may be considered more appropriate than others. Also, try to take into consideration the availability of your guests. Choosing a venue will depend on the type of event and how many guests you plan on inviting. Beyond those factors, you also want to consider location, parking, layout, features, accessibility, ambiance, and cost.

Invite Your Guests

Figure out how many people you want to invite and decide if there is a limit on how many guests you can allow based on the budget you created. Invite your guests with plenty of time to spare. If it is an open invitation to the public, make sure the event is well-promoted through outlets such as social media.

Choose the Food

Will you provide the food yourself or will you hire a caterer? What food will be served? Will there be allergy-friendly or vegetarian options? How will it be served? Would you prefer buffet-style or plated table service? Select the Décor

We have organized our social distancing solution rentals in a way that makes it easy for you to find what you are looking for.

Tents

The outdoors is a great resource for additional space. If you are moving your business or event outdoors, consider renting a tent to keep your guests comfortable outside, rain or shine. We offer several types of tents including frame tents, pole tents, pop-up tents, high peak tents, and our new structural tents which are recommended for a long-term solution. Restroom Trailers

Our new, luxury restroom trailers offer a sanitary solution by eliminating the need for guests to go indoors. We have 3, 5, and 9-stall restroom trailers, as well as an individual, ADA compliant restroom trailer.

Our isolation dividers make it easy to maintain social distancing. Using non-porous sheets hung with pipes, they are lightweight and versatile. Set barriers between people or create smaller rooms within a larger space. The plastic or vinyl materials makes it a breeze to clean.

Providing hand sanitizer is a great way to help keep an area clean. Our hand sanitizer stations are lightweight and easily portable. They can stand alone or function as part of a stanchion.

At Grimes Events & Party Tents, safety is and always has been at the forefront of our minds. We are proud to have completed and received a certification for the new American Rental Association’s Clean. Safe. Essential. training program. The focus of this program was to provide rental companies with information and training on employee communication, safety, hygiene, varied cleaning processes, and more.

What We Learned

Recommended PPE: The Personal Protective Equipment (PPE) that will keep our employees and customers safe and how to obtain them. This equipment includes masks, cleaning supplies, and equipment for social distancing.

Safety Considerations: How to properly prepare for employee and customer safety by minimizing contact and ensuring that everything is promptly disinfected.

Cleanliness Checklist: Developing standards and protocols regarding what will be cleaned, when, and how, especially when it comes to surfaces that are frequently touched and high-traffic areas.

Marketing: How to convey to our customers that maintaining standards and protocols to ensure cleanliness and safety is our utmost priority.

Dining on The Spot

Phase 1 of reopening in Florida allows for restaurants to function at 50% capacity. As part of the effort to support the local economy, Downtown West Palm Beach created Dining on the Spot, an outdoor dining experience for restaurants in its downtown area allowing for expanded seating capacity. Following appropriate social distancing guidelines, we transformed downtown with tents, umbrella tables, and more to create a unique ambiance for each restaurant’s space. Sidewalks have been widened and some streets have been closed to create more outdoor dining opportunities. Alleyways and parking lots are soon to follow, expanding seating capacity further and allowing the community to enjoy their dining experiences once again. This long-term program comes at no cost to the restaurants and ensures CDC guidelines are in place while supporting community safety.

Whether your guest list is large or small, we have a restroom trailer to accommodate your event. If your guest list is under 225 people, we recommend our 3 stall restroom trailer, whereas our 9 stall trailer can accommodate up to 400 guests.

Not only do we have a trailer to accommodate every event size, we can also accommodate every guest. Our ADA Single Stall has a ramp and allows those who cannot climb stairs the same luxurious experience. Our 9 stall and 3 stall trailers include stalls for both men and women.

Many large events have been postponed or canceled because of COVID, but creativity has allowed us to continue celebrating special occasions! We have taken to providing our clients with opportunities to host socially distant events from the comfort of their driveway.

A Special Birthday

Recently, we helped one of our special clients celebrate their 10th birthday with a driveway event. Guests could drive by, wishing our client a happy birthday, or stop in for a socially distanced party. We transformed their driveway into a multi-colored, tie-dye extravaganza fitted with a tent, tables, goodie bags, and cupcakes! By partnering with GoFar Balloons and Bella Fiori Flower Walls, we were able to create a beautiful experience for all the attendees. Drive-by or stop in events such as these are great for celebrating anniversaries, graduation parties, birthday parties, and more while taking into consideration social distancing, health, and safety.
