Party With Purpose!

Grimes Events and Party Tents have been serving the community for years, providing event rentals to create functional designs for clients. With the many events we have serviced, there is a certain level of purpose behind all of them. Big or small, the purpose is present at every event. Even though there is an intention behind every event, the nature behind the intent is what makes the event truly purposeful or not. With the many things going on in the world, we are offered many opportunities as event professionals to make changes with the events we create.

Purposeful events

When planning an event with purpose you or the planner is thinking about it from a non-commercial mindset. The value of this event has a bigger effect than anything we can physically see or gain capital on. An event can be private, corporate, or charitable, all can be done purposely if intended. If the event creates change or brings awareness to a challenging area it successfully served a purpose that ultimately serves the community’s greatest good.

How can I make my event purposeful?

There are a few things that can qualify your event as one that embodies purpose. The more important strategy behind creating a purposeful event is the intent behind the function.  Why are you having this event? How is it going to have a long-term positive effect on others? These answers can be very simple or more complex but regardless, the pure intention behind the answers ensures the event is yielding a level of purpose. If you want to give back through your event there are so many ways to do this. Some examples are having a reputable speaker, inviting members of your community who sit in high places, as their presence is a resource to uplift the purpose. Lastly, using admission to give proceeds to an establishment in need.

What makes a purposeful event special?

Having a purposeful event also offers some hidden perks besides being overall beneficial to a cause. One of the biggest highlights of a purposeful event is the transformation it brings.  If you promote a purpose at your event, you are also creating a space for the public to engage with the topic or purpose. This engagement works as a catalyst to educate and inform your guest about a purpose you find important. Another thing that makes an event with purpose stand out is the feedback you’ll get after the event. Feedback gives your event exposure that continues far after the event is over. This feedback can also manifest itself as new followers, subscribers, sign-ups, or donations. Overall, this is giving your purpose the support it deserves.

Examples of a purposeful event

When we think of purposeful events, we automatically think of a charitable type of event. Food drives, raising funds for cancer research, helping the homeless, etc. All these events are clearly doing something to give back to a moral cause. Although this is a direct way to create a purposeful event, there are other subtle ways to incorporate purpose in any event.

For example, a wedding. Depending on your theme and time of year for a wedding, the host can incorporate purpose through their personalization. Incorporating information on an important cause in the wedding favor, asking guests to donate to a cause rather than gifts, or ensuring all materials and vendors you’re working with have an ethical and sustainable background, are just some of the ways to bring a deeper purpose to a wedding day.

Here at Grimes Events & Party Tents, we believe in incorporating purpose into everything we do. When we provide essential and well-equipped tent and party rentals, the purpose does not stop there. We are more than creating exceptional event designs. We pride ourselves on being woman-owned and operated. We support women’s rights, encourage power in all women, and support our community. We put this essence in every event we service. Contact Grimes Event & Party Tents to create a beautiful event with a purpose.

Event Planning: Selecting Your Venue

Picking a venue for your event can be a big part of your overall event planning process. Make selecting a venue easy by learning what to look for when beginning to search. Start with a vision and purpose for your event, then incorporate these tips to create the perfect venue space.

Location

Location is important to keep in mind when choosing a venue. The region where the venue is located can affect how accessible it is for guests. Without a guest, there is no event. Ensure that all guests can travel safely and have efficient access to enjoy all aspects of the venue space. Look into entrance ramps and parking spaces at your venue location.  Speaking of space, one of the first things you should know when picking a venue is how many guests will be there. This will establish the size venue that’s needed and can impact the comfortability of the venue.

Select a place

Once you have addressed the event size, you can decide where you want your event to take place. Finding a venue that has all your event needs in one place and can be designed to carry your theme is crucial. Although the fastest way to select a venue is picking one that is already built, it can be hard to get everything you want out of one venue space. The room could be large but there is only one bathroom, or there is a dancefloor but not much room to dance. If you find yourself having a difficult time checking all the boxes of your venue requirements, don’t settle. Building your venue can be more personalized and just as fun. For more information about personalizing your event space, read our blogs on Tent Rentals for Every Event and What is Your Event Décor Style?

Build your own space

Starting from scratch allows the event planner to build out the event the way they imagined, and not what the venue confines them to. A great way to build a custom venue is by renting a party tent. Grimes Events & Party Tents offers a variety of sizes and styles of outdoor party tents. Another great aspect of a party tent is it can be put anywhere opening the doors for endless locations. It can be on a beach, a farm, a park, or even your backyard. No matter where the event is, its one-of-a-kind setup will leave a lasting impression.

When you build out an event you can use one tent or multiple to build the structure of your choice. Add on rooms inside the tent or just off the tent to accommodate a lounge in addition to your event space. This is a great way to incorporate an upscale lounging area for your guests to relax. Maximize your space by organizing it the way it works best for your event. Incorporate rentals like a stage for entertainment, a floor for dancing, rentals for catering, and even luxury portable restrooms. Grimes Events & Party Tents has countless event rentals that will transform your space into a one-of-a-kind venue.

Transforming your venue

Décor, theme, style, and functionality are all essential parts of having a memorable venue. Think about what kind of event this is and what kind of response you would like to evoke from your guest. Figuring out what you want out of your event will help you determine the essence of the celebration.  The theme or subject of the event will be the inspiration for the setup and décor inside. Tableware, statement pieces, lighting, music, colors, seating, refreshments, and any other personalization will make up the theme of the event. Think about the atmosphere you are trying to create with the décor. Will it be warm, cool, airy, intimate, fun, or sophisticated? The list goes on and creativity takes over. Take stock of your decorative goals for the venue and start trying things out.  Its highly recommended to take furniture, décor, and color swatches to the venue to get an idea of what the final product could look like.

If you are finding it hard to spark creativity, get inspiration from other events. Research common themes or trending décor to get a feel of beautiful materials you can include in your décor. A great source of inspiration is from event planning businesses like Grimes Events & Party Tents. Check out our social media and website to view our gallery of successful event setups. Table Setting: Casual to Formal

A table setting can say a lot about the quality of an event. It’s important to find different details to incorporate into your festivities that will wow guests. This can be easily achieved with a unique table setting at any event.

Linens

Linens are common at many events to give a solid color and finish to any table. It’s important to have basic linens even if they are just white, they are handy to protect tables and party rentals from damage during the event. Not only are they essential for functional purposes, but they also add an element of multi-textural design to tabletops at any event. Event planners can stack colored linens on textured linens to create the desired effect as a base for other toppers on the table setting. In comparison to plastic table covers, quality linens are sure to bring your casual event to an upscale environment.

Serving Dishes

Your table setting is only as good as your serving wear. If you are looking to create a formal atmosphere having decorative serving dishes will create the essence of excellence.  Detailed serving dishes that match the color or theme of your event will surely impress guests. Although there are a lot of plastic dupes for table wear that look great, if you’re looking to go formal, heavier materials like metal, glass, and ceramic will give your event an expensive feel even on a budget! Using these materials is also helpful in creating less waste with their reusable nature of the serving dishes. Grimes Events and Party Tents’, Antique Chargers are a great example of a luxurious design element.

Pop of color

Working with color on your table setting is sure to take a table setting to another level. Small splashes of color can add a personal touch while also catching the guest’s attention. Colors can range from bright to subtle when considering a formal layout for your event. Flowers, napkins, nameplates, and chargers are a few personal touches that can be paired with a signature color for your event.

Greenery is a foolproof addition to take your table settings go from casual to formal. A variety of plants can add a fresh and elegant look to any table setting no matter the event. Paired with neutral linens and gold and bronze serving dishes, you can create a beautiful earthy but formal table setting.

Grimes Event & Party Tents works to combine all these decorative elements to create the perfect event specialized for the client. With extra care and detail, you can take these elements and amplify them to go from casual and cute to a formal extravaganza.

Catering Rentals for Events Large and Small

Cooking for a large group of people just got easier! Grimes Events & Party Tents has everything you need when it comes to catering rentals.

Cook the Food

Convection Oven – Our portable convection ovens work similarly to the oven found in most homes. They use a fan and exhaust system that circulates hot air to ensure the dishes on every rack cook evenly. Our convection ovens come in large or small and both options are equipped with wheels for ease of use.

Propane Grill – It’s time to fire up the grill! Whether you’re grilling up some hamburgers and hotdogs or grilling some vegetables, our propane grill can handle anything you need.

Gas Deep Fryer – The options are endless when it comes to our deep fryers! From French fries to fried chicken, churros to fried dough, rent a dent a deep dryer to give your guests both sweet and savory snacks!

Popcorn Machine – Add a bit of fun to your party by renting a popcorn machine! Its carnival-themed look provides a pop (pun intended) of color to your décor while delivering a tasty treat that all your guests will enjoy!

Keep It Warm

Warming Cabinet – You’ve cooked the food, now it’s time to keep it warm. If you’re hosting a sit-down dinner, all the food must be ready to serve at the same time. Warming cabinets keep prepared food safe and warm until it’s time to be served.

Steam Table – Perhaps you’re planning to serve food to your guests buffet-style. Our steam tables come with three pans to hold food. The food is kept warm using steam that comes from boiling water directly beneath the pans.

Chafing Dish – Similar to a steam table, chafing dishes keep food warm for roughly 2 to 6 hours using the steam from boiling water. Individual chafing dishes are more portable than a steam table and allow for a more customized buffet layout. Chafing dishes can also be used to keep food chilled by filling the bottom tray with cold water and ice.

Heat Lamp – Sometimes the simplest of products offer the best solution! If you anticipate only needing to keep dishes warm for a short time, consider renting heat lamps.

Grimes Events & Party Tents has everything you need to throw the perfect party – tents, tables, chairs, tableware, and so much more! Contact us today at 561-853-8368 to get started!

What Your Event Planner Wants You to Know

Event planning is not for the faint of heart. Hiring an event planner can help bring the event you’re dreaming of to life while simultaneously relieving much of the stress that comes with the planning process. If you’re working with an event planner, make sure to get the most out of the experience by keeping these things in mind!

They’re On Your Side – Trust Them

Event planners do this for a living! Having experienced all the ups and downs of numerous events, they know what will result in a major success or a total failure. Your event planner should be listening to your desires but remember to take their advice if they say something won’t end well and work with them to come up with a creative solution!

Be Honest

It’s important to speak openly and honestly with your event planner. They are there to help create a perfect vision for your event! The only way to do this is to share your wants, goals, and opinions with them. If they suggest an idea you’re not crazy about, just tell them! It’s better to be honest in the beginning than to end up with an event that doesn’t turn out how you dreamt it would.

Let Them Do the Work

One of the most beneficial parts of hiring an event planner is getting the chance to relax and enjoy your event! While it may be tempting to have an active hand in the planning process, remember, you hired them for a reason. Especially with large-scale events, there are simply too many details for any one person to tend to. By hiring an event planner, you must be prepared to relinquish part of the control.

Are you planning an event? Contact Grimes Events & Party Tents for all your party rental needs! There are many advantages to renting equipment including a wide variety of options, cost efficiency, and less stress on you!

How to Decorate Rental Chairs

While providing chairs for guests at an event may seem like a mundane task, there are plenty of opportunities to have fun with it! Decorating chairs is a great, cost-effective way to add to your event décor. Depending on what your event décor style is, there are several ways you can decorate your chairs!

Play With Fabrics

One of the most popular ways to decorate chairs is by using fabric. There is a wide variety of fabrics that you can use including satin, lace, chiffon, or burlap. Chiavari chairs are the best option if you plan on using fabric to decorate. The fabric can be draped over the top of the chair and collected behind it using a decorative tie. It could also be interlaced through the back of the chair in an intricate pattern. Another idea is to wrap the fabric around the back of the chair and tie it in a big bow.

Wrap It in Ribbons

Ribbons are a highly underrated décor piece. They can be used for any number of things, including decorations for your chairs! Ribbons come in a myriad of colors and textures to match whatever the aesthetic of the event is. Try tying several ribbons to the top bar of the chair and allowing them to hang down the back, creating a sort of curtain. Or tie a single ribbon into a bow on one of the top corners of the chair for a simple yet elegant look.

Fabulous Florals

As always, florals are a great way to decorate any event. They are highly versatile and allow you to incorporate natural elements into your décor. When it comes to decorating chairs, one idea is to hang small bouquets or floral wreaths off the back of the chairs. For chairs that won’t be moving during the event, try hanging small vases filled with flowers from one of the top corners of our white padded chairs. For example, if you have rustic event décor, hang a mason jar using twine and fill it with wildflowers.

Make It Personal

One of the big trends for events in 2021 is personalized elements. The more personal an event is made to be, the more likely your guests are to remember it! Consider having personalized signs made to hang on the back of the chairs. At the end of the event, let your guests take them home as a party favor!

Severe Weather Prep

As you’re planning your outdoor event, you may wonder, “What if the weather doesn’t cooperate and there’s a storm during my event?” That’s a great question. With a little bit of prep work, you’ll have a great event – rain or shine!

Here are a few things you should do ahead of time when planning your event:

  • Have an evacuation plan for the extreme worst-case scenario
  • Designate one person to decide when the tent should be evacuated in extreme weather
  • Place the tent in an area that is not prone to flooding
  • Be sure to rent tent sidewalls
  • Have a rain plan for any outdoor portion of your event
  • Consider renting a covered walkway for your guests to enter the tent
  • Consider renting an elevated floor if the ground may become muddy

If severe weather is imminent:

  • Keep an eye on the weather forecast
  • If high winds are expected, open the tent sidewalls to allow the wind to blow through the tent
  • Tighten the ratchet straps on the tent

If a storm does arrive during your event, you’ll be prepared. All of our tents are very sturdy and are designed to withstand storms. Of course, in the case of a very severe storm, tropical storm, or hurricane you should vacate the tent. Tents are designed to flex and move slightly during a high wind, but here are some signs that the tent is becoming unsafe:

  • Wind speed is over 38 miles per hour
  • Tent poles are lifting off the ground
  • Tent stakes are pulling out of the ground
  • Tent fabric is starting to tear
  • Nearby trees begin to fall
  • Lightning is striking nearby

If any of these conditions occur or you feel unsafe inside the tent, immediately evacuate everyone to a safe building. If no building is available, guests can go to their cars until the storm passes and the tent is secure.

If you are in a tent during a thunderstorm, keep everyone at least five feet from any tent pole. If the lightning is nearby evacuate everyone from the tent.

Grimes Events & Party Tents is always monitoring the weather. If a severe storm or hurricane is on the horizon, we take the tent down and will work with you on rescheduling your event.

Even though many events have beautiful weather, it’s always best to plan for the worst so that your event can be a success either way!

Products We Love

At Grimes Events & Party Tents, we take pride in the products we provide to our clients. We would never rent out products that do not meet our high standards. However, there’s no doubt that we favor some products over others for their beauty, functionality, and ability to make a statement!

Tents

Our number one favorite product is the heart and soul of our business – tents! Not only are they practical for a variety of circumstances such as protecting guests from the harsh sun or unexpected rain showers, but they also give any event a sense of formality and elegance. Specifically, we love our frame tents! They are classy on their own and can be decked out using any number of accessories including string lights, chandeliers, side curtains, tent drapery, and more!

Restroom Trailers

One of the newer additions to our inventory, luxury restroom trailers, will always be one of the rentals we suggest for any outdoor event! They come in a variety of options, perfect to fit any size or style event. Choose between 3-stall, 5-stall, 9-stall, or single-stall ADA compliant restroom trailers. Each trailer comes equipped with air conditioning and heating, hot and cold running water, a self-leveling jack, and vinyl skirting. If you want our suggestion, we highly recommend the 3-stall luxury restroom trailer which offers completely private spaces, LED lighting, and Bluetooth speakers!

Lounge Furniture

Our lounge furniture packages offer a myriad of benefits! They are fully customizable, give a modern look to any event, and help to keep your guests comfortable. Arrange several corner and center pieces into a variety of shapes and toss in a few ottomans. The options are endless! Are you looking to add a little flair to the look of your event? Keeping Guests Comfortable

No matter what the main focus of your event is, it’s important to make sure that your guests feel comfortable. Whether they are mingling at a corporate event, browsing at a business event, or dancing the night away at a backyard wedding, there are plenty of precautions you can take to ensure your guests’ comfort.

Rain or Shine

The weather can be unpredictable. Therefore, it’s important to prepare for a myriad of situations. Rent a tent to help keep your guests cool from the Florida sun and dry from unexpected rain showers! Our frame tents are especially helpful in protecting guests from less-than-ideal weather. They can be placed together to cover the walkway from the building to where the tent is set up outside! Other accessories to consider include side curtains that can help block out excessive wind or fans to encourage air circulation.

Relax and Recharge

Consider giving your guests a chance to escape from the hustle and bustle of the event by creating a lounge area. If the venue allows for it, set the lounge area away from crowded spaces. If this is not possible, you can use pipe and drape to give your guests the illusion of privacy. Provide your guests with luxurious seating options like our lounge furniture. Decorate with soft lighting to create a calming atmosphere.

It’s All in the Details

People pay attention to the details. Therefore, you’ll want to make sure that you do too! There are plenty of small changes you can make to your event that will help to keep your guests happy and comfortable. Offer activities for your guests but don’t force them to participate. Take your time when creating the seating arrangement. Seating in small, familiar groups will help people to feel more at ease. If your event is being held outdoors, consider renting a luxury restroom trailer – the ultimate comfort for your guests!

Which Tent Is Right for Your Event?

At Grimes Events & Party Tents, we have tent rentals for every occasion! From small, backyard get-togethers to large, corporate events and everything in between, we offer a wide variety of party rentals to best suit a wide variety of needs. Grimes Events & Party Tents is here to help your dream event come to life!

Types of Tents

Frame Tents come in a variety of sizes, making them our most versatile and therefore most popular tent rental option. These tents can be installed on decks, close to buildings, and any relatively level surface. Our frame tents are available with either a white or clear top. This type of tent is best used for events that have seating plans or a lot of guest movement is anticipated.

Pole Tents are excellent for weddings, festivals, company events, and more. These elegant tents, sometimes referred to as circus tents, have central support pole(s) down the center to create a clean, swooping look for the canopy. Pole tents offer a traditional look that is both cost-efficient and flexible.

High Peak Tents have a similar look as the pole tents but are better for smaller events. Built with a solid aluminum frame and covered with PVC-coated fabric, these tents are both beautiful and functional. They are available in either 10 x 10 ft or 15 x 15 ft and can either be used singly or placed side by side to create an aesthetically pleasing village grouping.

Structural Tents are heavy-duty frame tents, generally used for large events or long-term installations such as additional restaurant seating, construction projects, or repeat events. One benefit to these tents is the high ceilings that offer some extra height and space.

Things to Consider

Location, location, location. Tents can be installed using different methods. Therefore, where you plan on placing the tent is a large contributing factor when choosing which tent is right for you. Will the tent be placed on grass, concrete, asphalt, sand, or a deck? Is the ground relatively level? Will it need to be close to other structures, such as a building? The tent space will need to be free of obstacles, including fences, swing sets, underground power lines, sprinkler systems, etc. Make sure to take all these factors into account when choosing your tent!

The size of your tent depends on how many guests you are planning to have at your event. We suggest following the general guidelines of:

Cathedral seating – minimum 8 sq ft per guest, plus aisles

Standing event – minimum 10 sq ft per guest

Seated dining – depends on the table size and layout

The number of guests is just one of the many things to consider when choosing the size of your tent rental. Other considerations should include whether you will be having a buffet, bar, dancefloor, sign-in table, DJ table, etc.

Complete your tent by renting any number of tent accessories, some being practical and others being fashionable. Depending on the type of event and the venue, you may want to consider renting flooring, side curtains, doors, or cooling products. Top it all off by renting décor for your tent such as pipe and drape or lighting!

Are you still unsure what tent rental is right for you? The team at Grimes Events & Party Tents is here to help! Contact us today at 561-853-8368 for more information!
