Wedding Boom: How Covid-19 Birthed a Boom

Looking back, 2020 seemed like the perfect year for everyone. The country anticipated a year of clarity and being able to enjoy the outdoors again. This is especially true for the many couples who decided to solidify their love through marriage. Unfortunately, the universe had other plans for 2020. The whole world was hit with a pandemic that would become a global focus for the next two years. As we enter 2022, we are left with the residue of the goals and many weddings that have yet to be fulfilled in past years.

Wedding Push Back

According to the Statista Research Department, an estimated 82% of weddings were postponed in the year 2020 and 11 % were completely canceled. Now as the world works to get back to some normalcy, millions of couples are trying to finish what they started in 2020. The surge of backed-up weddings has led to a global wedding boom.

The overwhelming number of weddings have vendors and event planners booking through 2024 and on. A wedding is such an important event and as planners know, needs to be executed perfectly. A perfect wedding can take months to a year to plan and changes to a timeline can affect the planning process.

Global Supply Chain Strains

Since the pandemic started, supply chains have been stunted, having effects on the wedding industry. This directly affects the ability of wedding planners to produce. For wedding planners to target the requests of a wedding, they must be able to connect with various suppliers. Suppliers slowed down production for several reasons in the last few years. As the virus strengthened more and more laborers were out of work. Most people could not return until vaccinated, perpetuating more suppliers going without workers to produce materials. Shipping routes were also affected when trying to confine the virus. International governments, including our own, were cautious about traveling to other countries to stop the spread.

With a slowing supply chain and a boom of weddings to prepare it’s important for event planners to be one step ahead of this. Simplify where you can and plan as far out in advance as you can. Communicate clearly with your wedding clients.  Ensure clients are aware of the obstacles that could come up due to the relationship between the pandemic and planning a wedding. Explain that they must be open to pivot and adjust as you walk through the planning process to create the experience of their dreams.

Covid -19

Although vendors are moving slower, they are still moving and there is a high chance you will have all that you need to create a beautiful wedding. To ensure you have a hassle-free event it’s important to connect with vendors and event planners that can provide you with safe options that align with the Covid-19 climate of today. Work with vendors who can offer social distancing solutions. Grimes Events & Party Tents has been ahead of the Covid guidelines since the beginning of the pandemic and continues to create beautiful, functional, and safe, events with their various rentals. Some of these rentals include isolation dividers, pipe and drape, stanchions, tents, hand sanitizer stations, and individual restroom trailers to name a few.

Many wedding planners have had to re-determine wedding plans around the precautions that are being taken per state.  For example, couples that originally spent to accommodate 100 guests will have to settle for 50 guests because of crowding and the risk that could have. Not only are couples having to downsize their event but may have to consider getting a venue with outdoor space for airflow through the area. Masks are also still in effect leaving guests urged to wear a face covering. All these above precautions are dependent on the state but can be worked around with various social distances solutions.

The show must go on!

Some of this information can be daunting to young couples and event planners, but I can assure you the wedding of your dreams is still very much possible. With the right event planner and vendors like Grimes Events & Party Tents, who remain within the Covid -19 guidelines for all events, Covid -19 and pressures of the Wedding Boom will not stop you from creating a wedding to remember! If you are planning to marry this year, consider the above obstacles and come up with ways you and your wedding planner can work around them.

Event Planning: Selecting Your Venue

Picking a venue for your event can be a big part of your overall event planning process. Make selecting a venue easy by learning what to look for when beginning to search. Start with a vision and purpose for your event, then incorporate these tips to create the perfect venue space.

Location

Location is important to keep in mind when choosing a venue. The region where the venue is located can affect how accessible it is for guests. Without a guest, there is no event. Ensure that all guests can travel safely and have efficient access to enjoy all aspects of the venue space. Look into entrance ramps and parking spaces at your venue location.  Speaking of space, one of the first things you should know when picking a venue is how many guests will be there. This will establish the size venue that’s needed and can impact the comfortability of the venue.

Select a place

Once you have addressed the event size, you can decide where you want your event to take place. Finding a venue that has all your event needs in one place and can be designed to carry your theme is crucial. Although the fastest way to select a venue is picking one that is already built, it can be hard to get everything you want out of one venue space. The room could be large but there is only one bathroom, or there is a dancefloor but not much room to dance. If you find yourself having a difficult time checking all the boxes of your venue requirements, don’t settle. Building your venue can be more personalized and just as fun. For more information about personalizing your event space, read our blogs on Tent Rentals for Every Event and What is Your Event Décor Style?

Build your own space

Starting from scratch allows the event planner to build out the event the way they imagined, and not what the venue confines them to. A great way to build a custom venue is by renting a party tent. Grimes Events & Party Tents offers a variety of sizes and styles of outdoor party tents. Another great aspect of a party tent is it can be put anywhere opening the doors for endless locations. It can be on a beach, a farm, a park, or even your backyard. No matter where the event is, its one-of-a-kind setup will leave a lasting impression.

When you build out an event you can use one tent or multiple to build the structure of your choice. Add on rooms inside the tent or just off the tent to accommodate a lounge in addition to your event space. This is a great way to incorporate an upscale lounging area for your guests to relax. Maximize your space by organizing it the way it works best for your event. Incorporate rentals like a stage for entertainment, a floor for dancing, rentals for catering, and even luxury portable restrooms. Grimes Events & Party Tents has countless event rentals that will transform your space into a one-of-a-kind venue.

Transforming your venue

Décor, theme, style, and functionality are all essential parts of having a memorable venue. Think about what kind of event this is and what kind of response you would like to evoke from your guest. Figuring out what you want out of your event will help you determine the essence of the celebration.  The theme or subject of the event will be the inspiration for the setup and décor inside. Tableware, statement pieces, lighting, music, colors, seating, refreshments, and any other personalization will make up the theme of the event. Think about the atmosphere you are trying to create with the décor. Will it be warm, cool, airy, intimate, fun, or sophisticated? The list goes on and creativity takes over. Take stock of your decorative goals for the venue and start trying things out.  Its highly recommended to take furniture, décor, and color swatches to the venue to get an idea of what the final product could look like.

If you are finding it hard to spark creativity, get inspiration from other events. Research common themes or trending décor to get a feel of beautiful materials you can include in your décor. Severe Weather Prep

As you’re planning your outdoor event, you may wonder, “What if the weather doesn’t cooperate and there’s a storm during my event?” That’s a great question. With a little bit of prep work, you’ll have a great event – rain or shine!

Here are a few things you should do ahead of time when planning your event:

  • Have an evacuation plan for the extreme worst-case scenario
  • Designate one person to decide when the tent should be evacuated in extreme weather
  • Place the tent in an area that is not prone to flooding
  • Be sure to rent tent sidewalls
  • Have a rain plan for any outdoor portion of your event
  • Consider renting a covered walkway for your guests to enter the tent
  • Consider renting an elevated floor if the ground may become muddy

If severe weather is imminent:

  • Keep an eye on the weather forecast
  • If high winds are expected, open the tent sidewalls to allow the wind to blow through the tent
  • Tighten the ratchet straps on the tent

If a storm does arrive during your event, you’ll be prepared. All of our tents are very sturdy and are designed to withstand storms. Of course, in the case of a very severe storm, tropical storm, or hurricane you should vacate the tent. Tents are designed to flex and move slightly during a high wind, but here are some signs that the tent is becoming unsafe:

  • Wind speed is over 38 miles per hour
  • Tent poles are lifting off the ground
  • Tent stakes are pulling out of the ground
  • Tent fabric is starting to tear
  • Nearby trees begin to fall
  • Lightning is striking nearby

If any of these conditions occur or you feel unsafe inside the tent, immediately evacuate everyone to a safe building. If no building is available, guests can go to their cars until the storm passes and the tent is secure.

If you are in a tent during a thunderstorm, keep everyone at least five feet from any tent pole. If the lightning is nearby evacuate everyone from the tent.

Grimes Events & Party Tents is always monitoring the weather. If a severe storm or hurricane is on the horizon, we take the tent down and will work with you on rescheduling your event.

Even though many events have beautiful weather, it’s always best to plan for the worst so that your event can be a success either way!

How to Host Thanksgiving Amid a Pandemic

As COVID-19 continues to pose a risk to gatherings, many people are trying to reimagine their holiday plans. According to a recent survey, 21% of 1,000 adults confirmed that they do not know what they will be doing for Thanksgiving this year. When making your plans this year, make safety a priority by determining logistics such as cleanliness and spacing ahead of time.

Check State Regulations

First thing’s first, many states have restrictions on how many people may gather. Make sure to follow any state regulations set in place. While Florida may not have any state-mandated limits on gatherings, Florida Health suggests that you avoid congregating in groups larger than 10. If your guests are traveling from out of state, make sure to take note of any travel restrictions the state has set in place. As of right now, Florida does not have any traveling restrictions in place.

Measure Your Space

Social distancing is still encouraged, even during holiday gatherings. A great way to determine how many guests you can safely invite is to measure your space ahead of time. Keep in mind that while people are eating, their masks come off. Make sure that there is enough space to keep everyone at least 6 feet apart.

Alter Agenda, Location, and Serving Style

If you need more space, consider hosting Thanksgiving dinner outdoors! Not only does it allow for flexibility with spacing, but better airflow also increases overall safety. At Grimes Events and Party Tents, we can provide you with additional equipment such as tables, chairs, tableware, and linens. We also have 10×10 DIY tents that will keep your guests comfortable all day long.

Properly Prepare Your Guests

Make sure that all your guests are aware of what the plan is. Encourage all guests to observe a 14-day quarantine prior to Thanksgiving Day. Ask your guests to wear a mask whenever they are not eating or drinking. Remind your guests that if they are feeling ill, they should stay home. For those who are considered high risk, do your best to include them by video-chatting with them on the day of.

Observe CDC Guidelines

You and your guests should follow all CDC guidelines set in place. These include social distancing, mask-wearing, frequent hand washing, and limiting the number of people you come in contact with.

The holidays are a joyous time to gather with friends and family. However, this year, it is especially important to do what you can to ensure everyone’s safety. Grimes Events and Party Tents is here to support you during this time by providing social distancing solutions, tent, and table rentals. Contact us today for all your Thanksgiving rental needs!

A Simple Checklist for Event Planning

Planning an event can quickly become overwhelming. Creating a checklist can help you to stay organized and on schedule for the day of the event. At Grimes Events and Party Tents, we aim to help our guests stay stress-free and happy so that they can get the most out of their experience. Here is a simplified checklist of things to consider when planning your next event:

Decide on a Date, Time, and Venue

Depending on the type of event, certain days or times may be considered more appropriate than others. Also, try to take into consideration the availability of your guests. Choosing a venue will depend on the type of event and how many guests you plan on inviting. Beyond those factors, you also want to consider location, parking, layout, features, accessibility, ambiance, and cost.

Invite Your Guests

Figure out how many people you want to invite and decide if there is a limit on how many guests you can allow based on the budget you created. Invite your guests with plenty of time to spare. If it is an open invitation to the public, make sure the event is well-promoted through outlets such as social media.

Choose the Food

Will you provide the food yourself or will you hire a caterer? What food will be served? Will there be allergy-friendly or vegetarian options? How will it be served? Would you prefer buffet-style or plated table service? If you choose to provide the food yourself, we offer catering equipment for rental that will keep your food fresh and make your life much easier.

Select the Décor

Regardless of the type of event you are planning, décor is a must. Maybe you choose to go with a theme or a specific color scheme. Consider the purpose of your event and the mood you are aiming to set.

Take Inventory

Consider all the items you will need for your event. This could include tents, tables, chairs, linens, and tableware. Additional necessities you might want to consider are additional furniture, lighting, and cooling/heating units.

Stay Safe. Stay Healthy.

Plan accordingly to help your guests stay safe and healthy while attending the event. Encourage your guests to follow all CDC guidelines including frequent hand washing, maintaining social distancing, wearing a mask, covering coughs and sneezes, regularly disinfecting, and monitoring overall health. Inform your guests that if they are feeling ill, they should not attend the event. Take initiative by providing masks and cleaning stations. Utilize rentals such as tents, restroom trailers, hand sanitizing stations, stanchions, and isolation dividers to help guests maintain social distancing.

Event planning is not for the faint of heart. Whether you are choosing to plan your own event or are considering hiring an event planner, we are happy to provide you with anything you need for the big day. Contact us at 561-853-8368 to inquire about what rentals we have to offer and how we can bring your event to the next level!

Social Distancing Solutions

As COVID-19 continues to pose a threat, we at Grimes Events & Party Tents are here to support our community. Many of our rentals can help to keep people safe and maintain social distancing guidelines. We have organized our social distancing solution rentals in a way that makes it easy for you to find what you are looking for.

Tents

The outdoors is a great resource for additional space. If you are moving your business or event outdoors, consider renting a tent to keep your guests comfortable outside, rain or shine. We offer several types of tents including frame tents, pole tents, pop-up tents, high peak tents, and our new structural tents which are recommended for a long-term solution. Tent doors and side curtains are the perfect accessories for any tent rental to help create space and maintain social distancing.

Restroom Trailers

Our new, luxury restroom trailers offer a sanitary solution by eliminating the need for guests to go indoors. We have 3, 5, and 9-stall restroom trailers, as well as an individual, ADA compliant restroom trailer.

Isolation Dividers

Our isolation dividers make it easy to maintain social distancing. Using non-porous sheets hung with pipes, they are lightweight and versatile. Set barriers between people or create smaller rooms within a larger space. The plastic or vinyl materials makes it a breeze to clean.

Hand Sanitizer Stations

Providing hand sanitizer is a great way to help keep an area clean. Our hand sanitizer stations are lightweight and easily portable. They can stand alone or function as part of a stanchion.

Stanchions

A highly underrated rental, stanchions can easily create a path for your guests, block off areas, and keep large groups from accumulating. As the need for social distance continues, consider renting stanchions to help maintain CDC guidelines.

Pipe and Drape

Acting as a curtain, pipe and drape is an elegant solution that keeps people safe and ensures social distancing. Similar to stanchions, pipe and drape can create paths for customers or guests, block off areas, and keep large groups from accumulating. However, the added benefit of the pipe and drape is the protection it offers by creating a barrier between people.

Our social distancing solutions have all the necessary rentals you need to navigate COVID-19. From moving outdoors and providing alternative restroom options, to maintaining social distancing, we have you covered. Contact us at 561-853-8368 to find out more.
